The Challenge:

The company faced inefficiencies caused by disconnected workflows, manual task tracking, and limited visibility across teams. Repetitive work slowed progress, and collaboration across departments was often fragmented. Anticipating rapid growth and an influx of new programs, I set to researching, testing, and implementing a company-wide project management solution to streamline workflows, reduce redundancies, and improve cross-functional collaboration at scale. This allowed us to keep up with a workload that quadrupled in the course of a year while improving our overall speed to market.

Implementation:

• Proof of Concept: Researched and piloted Asana within my department before scaling the platform to commercialization and, ultimately, the entire company.

• Workflow Audits: Conducted workflow audits department by department, mapping steps and milestones into Asana for visibility and accountability.

• Standardization and Automation: Established standardized templates and intake forms to accelerate project setup and improve consistency.

• Expert Consultations: Coordinated with an Asana specialist to design advanced automation and integration solutions for complex collaborations.

• AI Integration: Introduced AI integrations to eliminate repetitive tasks and speed up execution.

• Support and Training: Provided ongoing support via quick weekly training sessions, live demos, and best-practices reminders to ensure adoption and engagement.

Results:

In the past year, the system transformed company operations by:

• Saving 253 hours / 31 business days of manual work

• Enabling 34,800 cross-functional collaborations

• Automating 15,366 tasks, reducing manual work in Asana by 11%

• Delivering 140 AI integrations and 83 unique team collaboration combinations

• Establishing a scalable, repeatable project management framework that improved transparency, accountability, and operational efficiency across the company.
